SallesCérémonie ("we," "us," or "our") operates the website sallesceremonie.ca (the "Platform"). This Privacy Policy explains how we collect, use, disclose, and protect your personal information in accordance with Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25), the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's Anti-Spam Legislation (CASL), and all other applicable laws.

We are committed to protecting your privacy and handling your personal information responsibly.

2. Personal Information We Collect

We collect different types of personal information depending on how you interact with the Platform:

2.1 Information You Provide Directly

Searchers (couples and individuals):

• Full name
• Email address
• Phone number (optional)
• Ceremony date or date range
• Number of guests
• Ceremony type
• Budget range (optional)
• Language preference
• Message content in inquiry forms

Venue Owners:

• Full name
• Email address
• Phone number
• Business name and address
• Venue description and photos
• Pricing information
• Payment and billing information (processed by Stripe; we do not store credit card numbers)

Waitlist / Coming Soon Signups:

• Email address
• Name (optional)
• Venue name and type (for venue owner leads)

2.2 Information Collected Automatically

When you visit the Platform, we may automatically collect:

• IP address
• Browser type and version
• Operating system
• Pages visited and time spent on each page
• Referring website
• Device type (desktop, mobile, tablet)
• Approximate geographic location (city-level, derived from IP address)

2.3 Information from Third Parties

We may receive information from:

• Stripe: Payment confirmation and subscription status for Venue Owners (we do not receive full credit card numbers)
• Google Analytics: Aggregated and anonymized usage data

3. Purposes for Collecting Personal Information

We collect and use your personal information for the following purposes:

• To operate and maintain the Platform
• To process and transmit inquiries from Searchers to Venue Owners
• To create and manage Venue Owner accounts and subscriptions
• To process payments through Stripe
• To send email confirmations for inquiries and account activity
• To communicate with you about your account, including service updates and security notices
• To send you marketing communications (only with your explicit consent; see Section 7)
• To improve the Platform, including analyzing usage patterns and optimizing user experience
• To comply with legal obligations, including tax reporting and regulatory requirements
• To detect and prevent fraud, abuse, or unauthorized access
• To respond to your questions or requests

We will not use your personal information for any purpose other than those stated above without obtaining your consent.

Prior to implementing any new information system, technology project, or processing activity that presents a high risk to the privacy of individuals, we conduct a Privacy Impact Assessment (PIA) as required by Quebec Law 25.

4. Consent

4.1 Express Consent

We obtain your express consent before:

• Collecting your personal information through forms (inquiry forms, signup forms, contact forms)
• Sending you commercial electronic messages (newsletters, marketing emails)
• Using cookies and tracking technologies that are not strictly necessary for the operation of the Platform
• Sharing your personal information with third parties for purposes other than those described in this Policy

4.2 Implied Consent

In limited circumstances, your consent may be implied, such as when you voluntarily submit information through the Platform to complete a transaction or inquiry you initiated.

4.3 Withdrawal of Consent

You may withdraw your consent at any time by contacting us at privacy@sallesceremonie.ca or by using the unsubscribe mechanism in our emails. Withdrawal of consent may affect our ability to provide certain services to you.

5. Disclosure of Personal Information

5.1 Inquiry Transmission

When a Searcher sends an inquiry, the following information is transmitted to the Venue Owner: name, email address, phone number (if provided), ceremony date, guest count, ceremony type, budget range (if provided), language preference, and message content. This is the core function of the Platform and is done with your consent at the time of submission.

We may share personal information with third-party service providers who assist us in operating the Platform, including:

5.3 Cross-Border Transfers

Some of our service providers are located outside of Quebec and Canada (primarily in the United States). In accordance with Law 25, before transferring personal information outside Quebec, we have conducted an assessment to ensure that the information will receive adequate protection. By using the Platform, you acknowledge that your personal information may be processed in jurisdictions outside Quebec and Canada where data protection laws may differ.

5.4 Legal Disclosure

We may disclose your personal information if required to do so by law, or if we believe in good faith that such disclosure is necessary to comply with a legal obligation, protect our rights, protect your safety or the safety of others, or investigate fraud.

5.5 Business Transfer

In the event of a merger, acquisition, or sale of all or a portion of our assets, personal information may be transferred to the acquiring entity. We will notify you of any such transfer and any changes to this Privacy Policy.

We do not sell your personal information to third parties. We do not share your personal information with third parties for their own marketing purposes.

6. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected:

• Searcher inquiry data: 24 months from the date of the inquiry, or until you request deletion
• Venue Owner account data: For the duration of the account, plus 12 months after account closure (for legal and tax purposes)
• Payment records: 7 years (as required by Canadian tax law)
• Waitlist signups: Until the Platform launches and the signup converts to a user account, or 12 months, whichever is shorter
• Website analytics data: 14 months (Google Analytics maximum retention, anonymized)
• Server logs: 90 days

When personal information is no longer needed, it is securely deleted or anonymized.

7. Commercial Electronic Messages (CASL Compliance)

In accordance with Canada's Anti-Spam Legislation (CASL), we will only send you commercial electronic messages (such as newsletters, promotions, or marketing emails) if you have provided your express opt-in consent.

You may withdraw your consent and unsubscribe at any time by clicking the "unsubscribe" link at the bottom of any marketing email or by contacting us at privacy@sallesceremonie.ca.

Transactional emails (inquiry confirmations, account notifications, password resets, billing receipts) are not considered commercial messages and will be sent as necessary to operate the Platform.

8. Your Rights

Under Quebec Law 25 and PIPEDA, you have the following rights regarding your personal information:

8.1 Right of Access

You have the right to request access to the personal information we hold about you. We will respond to your request within 30 days.

8.2 Right of Rectification

You have the right to request that we correct any inaccurate or incomplete personal information we hold about you.

8.3 Right of Deletion

You have the right to request that we delete your personal information, subject to our legal obligations to retain certain data (e.g., tax records).

8.4 Right to Withdraw Consent

You have the right to withdraw your consent to the collection, use, or disclosure of your personal information at any time, subject to legal or contractual obligations.

8.5 Right to Data Portability

You have the right to receive your personal information in a structured, commonly used, and machine-readable format, and to request that we transmit it to another organization, where technically feasible.

8.6 Right to De-indexing

You have the right to request that we cease disseminating your personal information or that we de-index any hyperlink associated with your name that provides access to your information, where the dissemination contravenes the law or a court order.

8.7 Right to Be Informed of Automated Decision-Making

If we use automated decision-making processes that produce decisions with significant effects on you, you have the right to be informed and to request a review of the decision by a person.

9. Security Measures

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction, including:

• Encryption of data in transit (TLS/SSL)
• Encryption of sensitive data at rest
• Access controls and authentication requirements for staff and service providers
• Regular security assessments
• Incident response procedures

No method of transmission or storage is completely secure. While we strive to protect your personal information, we cannot guarantee its absolute security.

10. Privacy Incidents

In the event of a privacy incident (breach, unauthorized access, loss, or disclosure of personal information) that presents a risk of serious injury to you, we will:

• Notify the Commission d'accès à l'information du Québec (CAI) as required by law
• Notify affected individuals as soon as possible
• Take immediate steps to mitigate the harm
• Record the incident in our internal register of privacy incidents

11. Children's Privacy

The Platform is not intended for individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that we have collected personal information from a minor, we will take steps to delete it promptly.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes by email and will post the updated policy on the Platform with a revised "Last updated" date at least thirty (30) days before the changes take effect. Your continued use of the Platform after the effective date constitutes your acceptance of the revised policy.

13. Language

This Privacy Policy is available in both English and French. In the event of any discrepancy between the English and French versions, the French version shall prevail, in accordance with the Charter of the French Language (Quebec).

If you believe that we have not handled your personal information in accordance with this Policy or applicable law, you may file a complaint with:
